POSITION OVERVIEW: As an Administrative Associate, you will be supporting the administrative functions of Tolleson Wealth Management's Investment Team, managing over $8bn of assets. You will thrive in a fast-paced role with opportunity to learn and grow. This position is an on-site role.

DUTIES and RESPONSIBILITIES:

• Coordinate logistics for all team meetings/calls including gathering documents from outside vendors, creating presentations, preparing agendas, booking and setting up conference rooms, and organizing catering as needed
• Understand team goals and priorities to effectively manage and prioritize team calendars, scheduling internal and external meetings/calls and adjusting calendars as needed
• Assist Bond Management operations with daily client requests, compliance reporting, and other projects
• Support Managing Director of Fixed Income
• Ensure investment communications and records are up to date in document and research management systems
• Collaborate with the Investment Team Administrator to identify areas of improvement and best practices
• Assist investment team with client facing materials and other ad-hoc projects, as needed
• Provide back-up support to CIO as needed
• Coordinate team member travel arrangements for domestic and international travel
• Collect and distribute investment team mail
• Other duties as assigned

MINIMUM POSITION REQUIREMENTS:

• A minimum of 2 years relevant experience in an administrative assistant role. Preferably 3-5 years relevant experience. A combination of degree and experience may be acceptable.
• Bachelor's degree preferred.
• Proficient in Microsoft Outlook, PowerPoint, and Word; Excel skills a bonus
• Outstanding, professional verbal and written communication
• Proven ability to work collaboratively in a team environment
• High attention to detail
• Must consent to and have favorable consumer report and background check
