Engel & Volkers New Smyrna Beach, a luxury real estate brokerage specializing in residential and vacation properties along Florida’s Atlantic coast, is seeking a detail-oriented Real Estate Transaction Coordinator to support our Realestate/Property Management team. In this role, you will manage contract-to-close activities for residential and coastal properties, ensuring every transaction is organized, compliant, and delivers a white-glove experience that reflects our boutique luxury brand. You will open and track files from executed contract through closing, coordinate with buyers, sellers, agents, lenders, title companies, attorneys, inspectors, and HOAs, and maintain clear communication and timelines for all parties. Responsibilities include preparing and reviewing transaction documents and addenda, monitoring contract deadlines and contingencies, scheduling inspections, appraisals, walkthroughs, and closings, and ensuring all required disclosures, signatures, and documentation are complete and compliant with brokerage, MLS, and Florida real estate regulations. You will update CRM and transaction management systems, maintain accurate digital file organization, and support agents with listing input, status changes, and property file maintenance. The Transaction Coordinator will track earnest money and escrow receipts, coordinate repairs and credits, assist with inspection responses, and help resolve routine issues that arise during the transaction process, escalating more complex matters to the supervising broker or agents. Strong attention to detail, excellent written and verbal communication skills, and the ability to manage multiple deadlines in a fast-paced environment are essential. Experience with Florida real estate forms, MLS platforms, e-signature tools, and transaction software is strongly preferred. The ideal candidate is client-focused, professional in presentation and communication, and comfortable providing a high level of service to discerning luxury clientele while collaborating closely with our team of agents.
